BOOST HANDBOOK
2026-2027

Shenandoah Tumblers BOOST Organization ("BOOST") is a parent/guardian-operated, non-profit organization. BOOST was established to support and encourage competitive gymnastics. BOOST files taxes as a 501(c)(3); therefore, all fundraising is done on behalf of BOOST, and participation in the club does not create a right, claim, or entitlement by individual members of BOOST to any of the funds raised. All distributions of fundraised earnings are set by rules approved by the BOOST Board of Directors.

BOOST and Shenandoah Tumblers, Inc. ("STG") are separate entities. Any questions or concerns about the facility, coaching, fees, or competitive meets should be directed to STG's main office. Any questions regarding BOOST should be directed to the BOOST President at boostpresident.stg@gmail.com.

Gymnastics is an expensive sport to participate in. Competition expenses include a yearly USAG Membership Fee, Annual STG Membership Fee, Monthly STG Tuition, Competitive Leotard, Warm-Up Uniform, Competition Entry Fees, and Coaches' Expenses. BOOST fundraises to help defray competition expenses and further gymnastics opportunities for all amateur athletes.

BOARD OF DIRECTORS
BOOST is run by the elected officers of the Board of Directors ("the Board"), whose positions and duties are described in detail in BOOST's ByLaws. Yearly elections are held every May. The nominations will be submitted through the BOOST Parent Portal ten (10) business days before voting at the annual meeting.

ANNUAL MEETING
The annual meeting occurs in May of each calendar year. Parent(s)/guardian(s) of gymnasts on any competitive team (Levels 3–10, Elite, and Xcel) at STG are required to join BOOST. Additionally, every member must read the BOOST Handbook and complete and sign the corresponding Acknowledgment Form(s).

RENEWING MEMBERS
Renewal of membership is required annually and must be completed by August 31st of the current year to continue membership without disruption and retain the right to participate in the distribution of any fundraised earnings earned by BOOST in the prior membership year.

MEMBERSHIP EXPECTATIONS
BOOST is a parent-operated organization. Active membership is key to its success. BOOST members are encouraged to volunteer to be chair or co-chair of a fundraiser or serve on the BOOST Board of Directors. Members must adhere to the BOOST Handbook and ByLaws, which are available on our website.

Members are expected to conduct themselves courteously and respectfully to all other BOOST members. Engagement in any behavior that, in the sole judgment of the BOOST Board, negatively impacts BOOST is grounds for immediate expulsion from BOOST. They knowingly forfeit their family's right to participate in the distribution of any fundraised earnings. However, the Board reserves the right to allow a member to rectify their behavior by signing a misconduct letter presented by the BOOST President and another member of the Board. Additionally, members will have the option to bring a third party to this meeting to serve as a witness.

Members who leave STG's Team Program and BOOST at any time during the season for any reason forfeit their ability to participate in BOOST's distribution of fundraising earnings. Since BOOST is a 501(c)(3) organization, members have no individual claim or right to the fundraised earnings.

MEETINGS
The annual meeting shall be held in May of each year. The Board shall meet at least quarterly at a date, time, and place specified by the President. General meetings of the Board and membership shall be held quarterly, commencing in September, with dates, times, and locations to be determined by the President. The Secretary will notify all members at least seven (7) days before any meeting. By their nature, special meetings may require more immediate action and are therefore not subject to the seven (7) day notice period. A special meeting notice can be as short as forty-eight hours. A majority of the Board of Directors and five (5) additional members of the BOOST organization shall constitute a quorum for the transaction of business at any membership meeting. 

MEET FEE INSTALLMENTS
All team members are responsible for paying Meet Fees to BOOST. BOOST determines the meet fees for each level based on the total from the previous season and the use of an installment payment plan or full payment.

Installments are due in June, July, August, September, and October. BOOST announces the amounts of these installments no later than June of each calendar year. Therefore, the amounts can change from year to year.
 
These installments are mandatory for all team members. In addition, if a gymnast changes levels during the season, the member must pay the new level's installment(s) for the remainder of the payment period.

COACHES FEE INSTALLMENTS
In addition to Meet Fees, all team members must pay Coaches Fees to BOOST. STG determines the Coaches Fees for each level and requires the use of an installment payment plan or payment in full. Installments are due in November, December, and January. An additional installment has been added to the payment plan for Levels 7–10 and Xcel Platinum, Diamond, and Sapphire to help distribute the higher costs over a longer period. STG announces the amounts of these installments no later than September of each calendar year. Therefore, the amounts can change from year to year.

If a gymnast joins the competitive team mid-season, Coaches Fees are still mandatory; however, the fees may be prorated based on the month your gymnast joins.

OTHER TEAM FEES
In addition, to meet fees and coaches' fee installments, other fees are required to be paid to BOOST to compete. BOOST announces the amounts of these installments no later than June of each calendar year. Payment for the fees listed below is due in full by June 15th of each calendar year. See the chart below for the amount totals from the PRIOR YEAR.

BOOST members are responsible for making all installment payments to BOOST. In turn, BOOST makes payments directly to each source.

REGIONAL & POSTSEASON CHAMPIONSHIPS FEES POLICY
Fees associated with Regional Championships are included in the monthly installment plans. Fees associated with Eastern and National Championships are NOT included in the installment plans, as only a limited number of gymnasts qualify for these events.

Regional coaches fees are applied to all eligible levels (see below). This fee is calculated by combining applicable coaches fee expenses and then divided by ALL participating regional attendees of ALL levels. These fees are estimates, consistent with regular season coaches fees, and are included in the Coaches Fee Installment Plan. Final costs may vary, and an additional assessment may be applied at the end of the season to cover any remaining deficit.

Regional meet entry fees are included in the Meet Fee Installment Plan to all eligible levels (see below). If a gymnast does not attend Regionals, the meet entry fee will remain on the account; however, the associated coaches fee will still be assessed.

Gymnasts who qualify for competitions beyond Regionals (Eastern and National Championships) are responsible for all related expenses individually, including but not limited to meet entry fees and coaches fees. While individual fundraising is permitted, as a 501(c)(3) organization, BOOST funds cannot be designated for individual athletes or specific expenses.

This policy is designed to help reduce large, unexpected expenses at the end of the season while maintaining transparency in postseason cost allocation.

FEES AND PENALTIES
A $35.00 returned check fee will be charged for all returned checks. BOOST has the right to deduct the $35.00 returned check fee from the member's fundraised earnings. If a member does not pay for their installment by the due date, they risk forfeiting their ability to participate in the distribution of any fundraised earnings and their gymnast's participation in the meet season. The Treasurer shall send written notice to the delinquent member via email after the due date, advising that the payment is late. If the installment payment is not received within five (5) days (including weekends) of the notification date, the member will lose their ability to participate in any upcoming fundraising earning distributions, and their gymnast will not be eligible to compete in the meet season. Therefore, their gymnast will be removed from the team. Following STG's policy, failure to pay an installment on time may result in the disallowance of a gymnast from competing.

REFUNDS
Refunds for meets are only permitted when STG can obtain a refund for the cancellation. Otherwise, the member must pay for the meet if their gymnast scratches, as it is after the host meet's refund deadline.

*COACHES FEES ARE NON-REFUNDABLE WHETHER A GYMNAST COMPETES IN ONE (1) MEET OR ALL MEETS.

All BOOST fundraisers are organized and run by the Vice President of Fundraising, the fundraising committee, and other appointed members. Any member wishing to volunteer for a fundraiser not on the fundraising committee should contact the Vice President of Fundraising at stgboost.vpfundraising@gmail.com. An e-mail will be sent out at the beginning of each fundraiser to notify the membership of all imperative information. BOOST is not responsible for any damage to personal items or equipment used for BOOST's business. 

Under IRS law, for BOOST to retain its 501(c)(3) non-profit, tax-exempt status, BOOST parents cannot fundraise solely for their athlete. It is essential to note that BOOST is structured to support amateur gymnastics and cannot directly benefit individual athletes. This is why members fundraise on behalf of BOOST and not for themselves or any particular gymnast. Earnings will not inure to the benefit of any private individual. When an athlete or parent fundraises, the earnings belong to BOOST. They are distributed to their members in accordance with federal laws concerning non-profit, charitable organizations (including Internal Revenue Code Section 501) and NCAA General Regulations for Amateur Status.
